Policies and Procedures
NYU Stern is proud of its reputation for hosting quality events. You should familiarize yourself with the School’s policies and procedures regarding Stern events. For further information, contact your Event Consultant.
Stern Event Space Policies
Event space at Stern is available for approved business school events; event space and services are not available for profit or non-NYU groups.
For events taking place at Stern and when entering the buildings, all persons must show identification. For all conferences, seminars and large events, an alphabetical guest list must be provided to NYU Protection Services. If your event is during non-business hours, you must notify the Building Services Office and NYU Protection Services of the time and location of your event.
Smoking is not permitted in any of NYU’s buildings.
Green Events Standard
The Green Events Standard is required for events with 48+ people but can be applied to all events for more sustainable food options and catering experiences.
Catering Policies
Special Events must approve all catering brought into Stern. All caterers must be insured and supply insurance certificates (insuring NYU) 10 business days prior to the event.
All catering must be through the 10 approved NYU caterers.
A minimum of $200 is required for catered events held in Stern event spaces through Special Events.
Last minute changes to catering, including menu and number revisions, will be accommodated when possible. Menu substitutions may be made at the discretion of the caterer to ensure quality.
Catering guarantees are needed one week in advance unless otherwise stated in the proposal/contract.
Cancellation of catering services made within 48 hours of the event may incur a cancellation fee.
Special Events will order flowers for catered events only.
Policies for Events with Alcohol
Catering food must be provided when alcohol is served.
Only insured catering personnel can serve alcoholic beverages. Alcoholic beverages are not permitted at events where undergraduate students may be present.
Alcohol is never permitted on Gould Plaza. No beer is to be served in bottles.
In accordance with the NYU Student Conduct Policy, alcohol, other than beer or wine, is not permitted at events arranged by students or graduate student clubs.
